This policy explains the mechanics of paying for EverElder — how billing works, how trials convert, how to cancel, and what happens to your workspace’s data afterwards. It is part of our Terms of service. For getting money back, see the Refund policy.
1.Plans and billing intervals
EverElder offers several plans — currently Starter, Family, Family Plus, and Professional — each with its own limits on supported-person profiles, members, and storage. Current pricing and what each plan includes are always listed on the Pricing page, which is the authoritative source.
- Monthly billing — charged every month on the date you first subscribed.
- Annual billing — charged once a year at a discounted per-month equivalent (currently two months free compared to monthly billing).
One subscription covers one workspace and all of its members — family members never pay individually to join.
2.Free trials
Where a free trial is offered, it works like this:
- The trial lasts 14 days with full access to the plan you selected.
- A payment card is required to start the trial, but nothing is charged during the trial.
- We send a reminder email before the first charge — at least 2 days before the trial ends — so a paid subscription never starts as a surprise.
- Cancel any time before the trial ends and you will not be charged at all.
- If you do nothing, the trial converts to a paid subscription on the plan and interval you chose, and the first charge is covered by the 14-day guarantee in the Refund policy.
One trial per family workspace, please.
3.Automatic renewal
EverElder subscriptions renew automatically. At the end of each billing period, your subscription renews for another period of the same length at the then-current price for your plan, charged to your payment method on file. This continues until you cancel.
For annual plans we email a renewal reminder at least 14 days before the charge. Monthly renewals follow the regular monthly date shown in Settings → Billing, where the next renewal date and amount are always visible.
4.How to cancel
The workspace owner can cancel at any time, without contacting support:
- Go to Settings → Billing and choose Cancel subscription. Two confirmations, no retention maze, done in under a minute.
- Cancellation takes effect at the end of the current billing period — you keep full access to everything you paid for until then.
- You will receive an email confirming the cancellation and the exact date access changes.
If you cannot reach Settings for any reason, email support@everelder.org from the owner’s address and we will cancel for you.
5.Upgrading your plan
Upgrades take effect immediately — the moment a growing family needs another supported-person profile or more members, the new limits apply. The charge is prorated: you pay only the difference between plans for the remainder of the current billing period, and the full new price from the next period onward. Switching from monthly to annual billing works the same way, with unused monthly time credited against the annual charge.
6.Downgrading your plan
Downgrades take effect at the start of the next billing period, so you keep everything you paid for through the current one. Before a downgrade takes effect, your workspace must fit within the smaller plan’s limits — for example, by archiving a supported-person profile or removing members. The product shows exactly what needs to change; nothing is ever deleted automatically to force a fit.
No refunds are issued for downgrades mid-period.
7.Failed payments and the grace period
Cards expire and banks decline — it happens. When a renewal payment fails:
- We email the workspace owner immediately and retry the charge on a standard schedule — typically after 3 days, 7 days, and 14 days.
- During this 14-day grace period the workspace continues to work normally, so a billing hiccup never interrupts a family mid-coordination.
- If payment still has not succeeded after the grace period, the workspace becomes read-only: every member can still see and export everything, but nothing new can be added until payment is updated.
- Updating the payment method in Settings → Billing restores full access immediately.
8.Price changes
If we change the price of your plan, we will notify the workspace owner by email at least 30 days before the new price applies to your subscription. The new price takes effect at your next renewal after the notice period — never mid-period. If you do not want to continue at the new price, cancel before that renewal and you will not be charged it. Prices for annual subscriptions are locked for the term you have already paid.
9.Your data after cancellation
Your family’s information is not held hostage by billing status:
- After a subscription ends, the workspace enters a 60-day export window. It is read-only, and the owner can export documents, tasks, contacts, expenses, and other records at any time during it.
- After the export window, the workspace and its content are scheduled for permanent deletion, and copies in routine backups rotate out on a fixed schedule afterwards.
- Resubscribing during the export window restores the workspace exactly as it was.
Details of retention and deletion are in our Privacy policy.
10.Billing questions
Anything unclear about a charge, an invoice, or a plan change: support@everelder.org. Include the workspace name and we will usually respond within one business day.
